Raise is currently hiring an Administrative Assistant team member on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader.
Job Overview
We are seeking a driven Administrative Assistant who has knowledge and experience in coordinating and performing administrative duties for Northwest Ontario Area Team.
Responsibilities:
- Provide direct administrative support to the Manager of NWO and area team, as well as the leadership team in addition to general support for the department when required
- Manage the departmental calendars which include coordinating meeting logistics, booking rooms, AV support, catering, etc.
- Provides guidance and assistance to team members on company programs and processes such as SAP
- Assists with onboarding of new employees and contractors
- Maintains files
- Tracks and reports on employee training, utilizing existing programs and databases
- Prepares and coordinates reporting and analysis of area budgets and cost tracking, utilizing applicable software programs
- Daily office administrative duties including managing office supplies and equipment
- Provides/prepares documentation of meeting minutes and presentations using software applications including Microsoft Word, Excel, and PowerPoint
- Maintains a central filing system
- Coordinates facilities for meetings, training, travel arrangements and offsite events
- Processes invoices
- Assisting in the preparation and distribution of monthly reporting activities
- Providing SAP, Webex and Workforce support to team members
- Preparing expense reports for Managers review
- Time entry management for local team
- Managing and maintaining confidential information
- Managing all forms of information using department and Company document management processes, including SharePoint, SAP and FileNet
- Performing other general administrative tasks as required.
Qualifications:
- 6+ years industry related experience
- Proven analytical, finance/budgeting, problem-solving, and organizational skills
- High level of self-motivation, effective time management, and priority setting skills
- Strong proficiency with software applications including Word, Excel, and PowerPoint
- Strong work ethic when under pressure in a fast-paced environment
- Strong interpersonal skills, professional demeanor and demonstrated ability to work cross-functionally with stakeholders at multiple levels demonstrated ability to work cross-functionally with stakeholders at multiple levels
- Exercise independent judgment and capacity to work collaboratively with others in a team setting.
- Proven organizational, planning and prioritization skills.
- High School Diploma/GED
Preferred Qualifications:
- Business administration post-secondary education
- Experience with SAP, LMS, SailPoint, Workday, FileNet, SharePoint, Power BI
