Raise is currently hiring a contract team member on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader.
Job Overview:
- The Expeditor supports the Supply Chain function by coordinating, tracking, and expediting all assigned equipment, materials, and deliverables required for the successful execution of purchase orders, contracts, and projects. This role is responsible for proactively monitoring and managing project milestones, documentation, vendor performance, and delivery schedules to ensure equipment and materials are available when required and aligned with project timelines.
- The position requires close collaboration with vendors, engineering teams, project stakeholders, logistics personnel, quality representatives, and construction teams to identify risks, resolve issues, and maintain schedule integrity throughout the procurement and delivery process.
Key Responsibilities:
- Monitor and manage assigned equipment and material orders to ensure on-time readiness and delivery in accordance with project and construction schedules.
- Proactively expedite assigned items by leveraging stakeholder meetings, reporting tools, systems, templates, and established processes to support project timelines and identify potential risks.
- Coordinate and manage vendor documentation between suppliers, Engineering (or Engineering Consultants), and internal project teams to ensure timely review, approval, and distribution.
- Ensure all required vendor documentation is complete, accurate, and received within established timelines, including drawings, Requests for Information (RFIs), Inspection and Test Plans (ITPs), Weld Procedure Specifications (WPS), Inspection Reports, and Vendor Data Requirements (VDRs).
- Review vendor fabrication schedules, inspection reports, ITPs, and other relevant purchase order and supplier data to identify, mitigate, and communicate potential delays.
- Notify project stakeholders of actual or anticipated schedule impacts and work collaboratively with suppliers to implement corrective actions and resolve issues.
- Schedule, facilitate, document, and manage vendor progress and supply meetings, including preparation of meeting agendas, minutes, action items, and follow-up activities.
- Participate in project meetings and provide regular updates on equipment and material status, progress, and receiving activities.
- Prepare and distribute status reports using required reporting formats to support project visibility and decision-making.
- Assist with the review and verification of supplier invoices to ensure accuracy and compliance with contractual requirements.
- Collaborate with vendors and stakeholders to resolve freight claims, shipment discrepancies, quantity variances, labeling issues, and other delivery-related concerns.
- Communicate technical, commercial, quality, and schedule-related issues to project team members and other key stakeholders.
- Support logistics planning and coordination to ensure equipment and materials are delivered safely and efficiently to project sites.
- Coordinate with construction and site personnel to confirm receiving readiness and the availability of appropriate unloading equipment and resources.
- Build and maintain effective working relationships with vendors, engineering teams, project personnel, contractors, quality representatives, logistics teams, and other Supply Chain stakeholders.
- Follow established Supply Chain Management (SCM) processes, procedures, and best practices to ensure consistency and alignment with departmental objectives.
- Maintain organized and accurate electronic records and expediting files to support documentation control, audit requirements, and purchase order or contract closeout activities.
- Coordinate activities and communicate regularly with key stakeholders to ensure alignment on priorities, schedules, and deliverables.
- Support the successful completion of purchase order and contract closeout requirements through timely documentation and record management.
- Perform other duties and responsibilities as assigned.

Qualifications:
Required
- Bachelor's degree in Supply Chain Management, Business Administration, Finance, Economics, or a related field.
- Alternatively, 2 to 4 years of relevant experience in expediting, procurement, supply chain, logistics, project coordination, or a related discipline may be considered in lieu of formal education.
- Working knowledge of expediting best practices and an understanding of procurement, logistics, and project documentation requirements.
- Experience managing engineering and vendor documentation.
- Strong organizational skills with the ability to coordinate multiple priorities and meet competing deadlines.
- Excellent problem-solving and customer service skills.
- Strong interpersonal skills with the ability to build and maintain effective working relationships.
- Excellent verbal and written communication skills.
- Close attention to detail and commitment to accuracy.
- Equivalent combinations of education, training, and experience may be considered.
Preferred
- Post-secondary education in Project Management, Supply Chain Management, Purchasing, Commerce, Finance, Business Administration, or a related discipline.
- Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
- Experience working within project-based environments in construction, energy, industrial, engineering, or manufacturing sectors.
