Job Overview:
- The Senior Expeditor supports the Supply Chain Management (SCM) function by coordinating, expediting, and tracking all assigned procurement, material, equipment, and logistics activities throughout the project lifecycle. This role is responsible for ensuring the timely delivery of materials and equipment required to support purchase orders, contracts, and project execution.
- The successful candidate will proactively monitor supplier performance, facilitate stakeholder communication, identify and mitigate risks, and ensure all documentation, logistics, and delivery requirements are completed in alignment with project schedules. The role requires strong relationship-building skills and close collaboration with vendors, engineering teams, project stakeholders, contractors, quality teams, logistics personnel, and other SCM functions.
Key Responsibilities:
- Proactively expedite assigned materials, equipment, and services to ensure delivery milestones are achieved in accordance with project and construction schedules.
- Monitor supplier performance, fabrication progress, and delivery commitments, identifying and mitigating potential risks that could impact project timelines.
- Coordinate and manage all vendor documentation requirements, ensuring timely submission, review, approval, and distribution of required project documents.
- Ensure documentation packages are complete and compliant, including drawings, Requests for Information (RFIs), Inspection and Test Plans (ITPs), Weld Procedure Specifications (WPS), Vendor Data Requirements (VDRs), and other project deliverables.
- Review vendor fabrication schedules, inspection plans, inspection reports, and purchase order data to identify potential delays and implement corrective actions.
- Communicate actual or potential schedule impacts to project teams and stakeholders, while working collaboratively with suppliers to resolve issues.
- Schedule, facilitate, document, and manage vendor progress meetings, supply chain review meetings, and project status meetings as required.
- Prepare and deliver accurate status reports on equipment, materials, logistics activities, and receiving progress using approved reporting formats.
- Assist with invoice review and verification to ensure accuracy and compliance with contractual requirements.
- Work with suppliers and stakeholders to investigate and resolve freight claims, shipping discrepancies, quantity variances, tagging issues, and related logistics concerns.
- Escalate and communicate technical, commercial, and operational issues to project teams and stakeholders in a timely manner.
- Coordinate transportation and logistics activities to ensure equipment and materials are delivered safely and efficiently to project sites.
- Liaise with site construction teams to ensure receiving readiness, unloading requirements, and necessary equipment are available upon delivery.
- Maintain ongoing communication and coordination with vendors, engineering teams, project personnel, quality representatives, logistics teams, and other stakeholders.
- Follow established expediting processes and procedures to ensure consistency, compliance, and centralized management of assigned procurement activities.
- Maintain accurate electronic records and documentation to support project execution, audit requirements, and timely purchase order or contract closeout.
- Regularly update and consult with the Team Lead and/or Manager regarding project status, supplier performance, purchase order progress, and emerging risks.
- Support the onboarding, coaching, and mentoring of new team members, project personnel, and suppliers on expediting processes, requirements, and best practices.
Working Relationships:
This position works closely with:
- Senior Expeditors, Supervisors, Team Leads, and Managers to receive guidance, direction, coaching, and work assignments.
- Internal stakeholders including Engineering, Project Management, Construction, Commissioning, Quality Surveillance, Procurement, Logistics, and other SCM functions.
- External stakeholders including vendors, contractors, consultants, suppliers, and third-party service providers to support project execution and delivery objectives.
Qualifications:
Required
- Minimum 10 years of experience in a fast-paced supply chain, procurement, expediting, project execution, or logistics environment.
- Strong knowledge of expediting best practices, procurement processes, logistics coordination, and project documentation requirements.
- Demonstrated ability to build and maintain effective working relationships with internal and external stakeholders.
- Strong organizational, coordination, and time-management skills, with the ability to manage multiple priorities simultaneously.
- Proven ability to work effectively on complex projects with competing deadlines and changing priorities.
- Working knowledge of engineering documentation and vendor documentation requirements.
- Excellent verbal and written communication skills with exceptional attention to detail.
- Strong problem-solving and customer service orientation.
- An equivalent combination of education, training, and relevant experience will be considered.
Preferred
- Post-secondary education in Supply Chain Management, Purchasing, Project Management, Business Administration, Commerce, Finance, or a related discipline.
- Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
- Experience using SharePoint, Oracle Cloud, Salesforce, or similar enterprise systems.
- Experience supporting large-scale capital projects, industrial operations, construction projects, or engineering environments.
- Willingness to travel occasionally to supplier facilities, project sites, and operational locations as required.
