Description

The Business Analyst in this role will support the Project Compliance Team and provide  critical operational support to ensure the seamless execution of the Mandatory Reliability Standards (MRS) program. This role serves as the primary point of contact for the Compliance Inbox and acts as the "engine room" for project triage, workflow monitoring, and data integrity.

The successful candidate will manage complex internal review workflows, maintain high-level tracking systems, and provide essential administrative and technical support to the Project Compliance Advisors. This position requires a high degree of autonomy, a keen eye for technical inconsistencies, and the ability to manage professional communications across diverse project teams.

Responsibilities

  • 1. Compliance Inbox & Communication Management
  • Primary Liaison: Serve as the first point of contact for the Project Compliance Advisor team, ensuring all inquiries receive same-day acknowledgement.
  • Inbox Architecture: Manage Outlook rule sets and filing structures (one folder per project).
  • Triage & Prioritization: Review incoming content, apply color-coded categorizations, and escalate urgent matters to Advisors immediately.
  • Template Governance: Maintain and deploy standardized email templates to ensure consistent messaging across the organization.
  • 2. PPM Internal Review & Workflow Monitoring
  • Data Integrity: Update the MRS Project Review Tracking spreadsheet and SharePoint Doc Sets for all new submissions (MRS Applicability Tools).
  • Workflow Audit: Review the Project Portfolio Management (PPM) queue to verify that reviewers are correctly tagged and that links to macro-enabled Excel tools are functional and correctly placed.
  • Technical Troubleshooting: Identify and resolve errors in PPM links or attachments; communicate changes and rationale directly to project submitters.
  • 3. Project Compliance Advisor Support (Triage & Analysis)
  • Initial Technical Triage: Review submitted MRS Applicability Tools for completeness and logical consistency. While not performing a full compliance audit, you will identify anomalies where project descriptions do not align with tool responses.
  • "No-Tool" Management: Lead the weekly "No-Tool Triage" meeting. Investigate projects identified by IP MRS that have failed to submit required documentation for their current phase.
  • Tracking & Escalation: Monitor "rerun" requests and follow up on missing information, escalating non-responsive project teams to the Team Lead.
  • 4. Financial & Charge Code Administration
  • Cost Recovery: Initiate and track requests for internal and external charge codes upon receipt of project tools.
  • Audit Trail: Document charge codes and Team Support hours within the Doc Set and Tracking systems.
  • Issue Resolution: Follow up on errored charge codes to ensure successful monthly cross-charging.
  • 5. System Sustainment & Meeting Support
  • User Acceptance Testing (UAT): Participate in testing scripts for the MRS Applicability Tool, documenting outcomes to support technical sustainment.
  • Technical Update: Provide status updates on outstanding technical support emails during sustainment meetings.
  • Collaboration: Attend Advisor team meetings and provide support (note-taking/scheduling) for Project Compliance Advisor solo meetings to ensure dual-representation.
