Job Overview
The Clerk is responsible for ensuring records are accurate, traceable, complete, and properly maintained throughout the records lifecycle. This role supports the capture, storage, management, maintenance, retrieval, and disposition of both physical and electronic records. The position requires strong organizational skills, attention to detail, and the ability to maintain confidentiality while supporting daily records management operations for the client.
Key Responsibilities
- Review records for accuracy, completeness, and traceability.
- Receive, organize, scan, and upload physical documentation into electronic records repositories.
- Maintain and update records inventories, metadata, indexing, and workload tracking systems.
- Follow client policies, procedures, and confidentiality requirements to safeguard company information.
- Track, document, and report records-related activities and project progress as required.
- Create and maintain task and project tracking tools, including Excel spreadsheets and SharePoint lists.
- Assign metadata to records and tracked items to support reporting, metrics, and workflow visibility.
- Provide written and visual updates regarding project status, progress, and potential obstacles.
- Organize, process, file, and archive records in accordance with established client standards and procedures.
- Maintain both electronic and physical filing systems to ensure records are accessible and properly categorized.
- Coordinate records transfers and retrievals with offsite storage providers and internal departments.
- Apply established naming conventions and records classification standards.
- Support records research activities and fulfill internal records requests.
- Perform record comparisons, verification, and quality control checks.
- Assist with records maintenance initiatives, including data cleanup and records validation activities.
- Support records retention and disposition processes under the guidance of enterprise records personnel.
- Participate in workplace safety initiatives and uphold client core values.
Qualifications
- 2–5 years of records management, records clerk, filing, or administrative support experience.
- Previous experience as a Records Clerk is considered an asset.
- General understanding of records lifecycle management, filing systems, records retrieval, and retention practices.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and SharePoint.
- Experience operating general office equipment such as scanners, copiers, and telephone systems.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks and prioritize workload effectively.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Physically capable of lifting up to 25 pounds.
- High school diploma or equivalent required.
