Service Contracts Administrator
- Pay Rate: $26.92/hour, depending on experience
- Contract Length: 6 Months

Raise is currently hiring a Service Contracts Administrator on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader. Our Client, is one of the largest electrical energy suppliers in Canada
Note: The primary pay rate is based on T4 classification; however, we will also consider applications from candidates interested in an INC classification, where applicable.
Description
The Service Contracts Administrator (SCA) plays a pivotal role within the Field Services team, ensuring the seamless administration, financial tracking, and compliance of service contracts, work packages, and agreements. This role supports internal Lines of Business (LOBs) and external third-party service providers (including major outsourced support contracts) by managing billing lifecycles, monitoring service level agreements (SLAs), and maintaining strong vendor and client relationships.
Responsibilities
- 1. Contract Administration & SLA Monitoring
- SLA Development: Participate in developing service level agreements, providing critical baseline input for contract pricing, delivery expectations, and billing structures.
- Performance Tracking: Monitor contract delivery, costs, performance measurements, incentives, and penalty clauses in alignment with management directives.
- Service Deliverables: Administer work packages and agreements to ensure the precise delivery of products and services across Field Services portfolios.
- 2. Financial Tracking, Cost Management & Billing
- Invoice Administration: Code, verify, and prepare complex vendor invoices for formal sign-off by leadership, ensuring alignment with contract terms.
- Data Reconciliation: Set up, monitor, and reconcile financial data within core cost-management and financial systems. Identify and escalate unusual variances or anomalies to the reporting manager.
- Billing Compilation: Gather and compile comprehensive cost and billing information for services rendered to internal Lines of Business and third parties (including fleet and facility management).
- 3. Client & Stakeholder Relations
- Relationship Management: Act as an operational point of contact for internal clients and external service providers, fostering collaborative business relationships.
- Governance Communication: Disseminate and explain contract policies, compliance standards, and operational processes to delivery teams and vendors.
- Operational Interface: Assist in defining client service requirements, preparing monthly status reports, pricing documentation, and standard reporting templates.
- 4. Data Integrity & Business Intelligence
- Data Management: Gather, verify, and maintain operational data from technical staff, electronic files, and worksheets. Troubleshoot and correct data discrepancies.
- Benchmarking Studies: Assist in conducting benchmarking initiatives to analyze, evaluate, and report on service quality, providing data-backed recommendations for process improvement.
- Reporting: Utilize advanced software applications (spreadsheets, databases, graphics, and word processing) to compile and present information clearly to stakeholders.
- 5. Office Operations & Executive Support
- Workflow Coordination: Manage and prioritize workflow through the Manager's office, optimizing schedules and integrating conflicting commitments.
- Correspondence Control: Receive, prioritize, and route unit correspondence, locating file references and composing routine memos or letters.
- Business Support: Respond to escalated inquiries regarding service provisions in the absence of the manager; perform a full range of clerical and administrative verification tasks.
Qualifications
- 2 years of progressively responsible administrative experience specifically tied to contract administration, facility management, and performance reporting.
- Proven track record in hands-on contract billing, financial tracking, and management reporting.
- Advanced operating experience with MS Office (Word, Excel, PowerPoint) and standard database management tools.
- Proficiency with, or a demonstrated ability to quickly learn, our clients core operational software, including: SAP ECC Access, SAP Time and Expenses, PassPort, Contract Management Access DB, DAD & JUAS
- Well-developed interpersonal, listening, oral, and written communication skills. Proven ability to communicate policies clearly and manage multi-disciplinary team dynamics.
- Strong capability to research data, apply conceptual thinking to contractual roadblocks, and resolve business-related problems.
- Good foundational business acumen with a solid understanding of commercial principles, purchasing, facility management, and data-gathering methodologies.
- Knowledge of corporate organizational structures, lines of business, outsourcing of non-core services (e.g., historical or current frameworks like the Accenture model), and utility sector workflows.
- Education and Certifications
- High School graduation supplemented by a Certificate in Business Administration, or an equivalent combination of education, training, and experience.
Additional Information
- Every contractor must supply their own Windows 11 Laptop computer for the duration of the assignment.
- Every contractor must supply their own “Smart Phone”. This is needed to gain access to the Organizations network.
