Raise is currently hiring a contract team member on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader.

Job Overview:

This Administrative Assistant position requires a high degree of independence and decision-making, focused on managing resources, ensuring safety protocols, and supporting leadership to achieve operational objectives. The role involves a blend of administrative support, communication management, and proactive problem-solving to maintain confidentiality and operational efficiency for a large team.

Key Responsibilities:

  • Manage logistics for department functions and training sessions, including calendar invites, space booking, and catering.
  • Attend meetings, track action items, and provide minutes.
  • Dispense routine administrative information and answer inquiries.
  • Code invoices and prepare monthly operating cost variance and accrual reports.
  • Arrange travel and submit expense reports for Directors and leaders.
  • Prepare reports for business planning and analysis.
  • Manage the Region & District On-Call system, including schedules and communications.
  • Coordinate moves for new hires and existing employees, setting up IT accounts and building access.
  • Assist staff with navigation and troubleshooting of company systems.
  • Ensure a safe work environment by coordinating safety protocols and emergency preparedness.
  • Liaise between directors/managers and customers, handling scheduling and inquiries.
  • Other related duties as assigned.

Qualifications:

  • Minimum of 3 years of administrative experience.
  • High School Diploma or GED.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Teams, SharePoint). Knowledge of Oracle and/or PowerBI is an asset.
  • Effective interpersonal and communication skills.
  • Ability to work independently with excellent time management and organizational skills.

Preferred:

  • Experience supporting a large team in a dynamic office environment.
  • College Diploma or University Degree in Business Administration or related fields.
  • Time management, analytical, planning, problem-solving, and organizational skills.
