Office Services Support staff
- Pay Rate: $31.00/hour, depending on experience

Raise is currently hiring a Office Services Support staff on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader. Our Client, a Liquids Pipelines Company operating with more than 4,000 kilometers of crude oil pipelines in North America providing low-risk, liquids transportation and storage business, safely moving oil between some of the world’s most critical markets.
Note: The primary pay rate is based on T4 classification; however, we will also consider applications from candidates interested in an INC classification, where applicable.
Description
The Office Services Support Coordinator in this role will be essential to the operational efficiency. This role is responsible for maintaining a professional, welcoming, and productive work environment by managing facility logistics, supply chains, and security access. You will reduce the administrative burden on the wider team by ensuring the office "just works."
Responsibilities
- Mail Delivery & Courier Services: Collect, sort, and distribute incoming mail; manage outgoing mail and packages; coordinate courier logistics and ensure cost-effective shipping.
- Coffee and Refreshment Supply Management: Conduct weekly inventory checks; submit orders; audit deliveries; coordinate machine maintenance and ensure consistent product availability.
- Provide refreshment products as backup to primary supplier outages/shortages
- Stationery Stocking & Supply Management: Maintain inventory of office supplies; organize and restock supply storage areas; submit orders and audit deliveries for quality and accuracy.
- Access Control & Security Coordination: Process requests for new, terminated, or modified access cards; coordinate with building security; conduct regular audits and resolve access issues promptly.
- Facility Services Management & Confidential Shredding: Identify service requirements; coordinate vendor services; oversee confidential shredding processes; ensure timely and quality delivery of facility services through third-party vendor coordination (General Maintenance, Service Requests).
- Deliverables
- Weekly inventory reports for coffee, refreshments, and stationery.
- Weekly shelf stocking & general organization of kitchens & supply rooms.
- Monthly audit reports for access control and security compliance.
- Service coordination logs for mail, courier, and facility services.
- Quality assurance checklists for vendor-delivered services.
Qualifications
- 2–4 years of experience in Office Coordination, Facilities Management, or a similar administrative-heavy role.
- Proficiency in Microsoft Office Suite (Excel for inventory tracking, Outlook for scheduling). Experience with security access software is a plus.
- Ability to manage multiple moving parts—from mail to maintenance—without losing track of details.
- Strong communication skills to manage and hold third-party contractors accountable.
- High level of integrity when handling confidential shredding and security access data.
- Physical Requirements
- Ability to lift and move mail packages and supply boxes (typically up to 30–50 lbs).
- Frequent movement throughout the office to stock shelves and audit facilities.
- Education and Skills
- High School Diploma required; Associate or Bachelor’s degree in Business Administration or a related field is preferred.
