Pay: $19.00/hour on W2
Work Type: Onsite – Austin, TX 78759
Work Schedule: 2nd shift | Monday – Friday | 1:00 PM – 6:00 PM CT
Duration: 6-month contract with a high possibility of extension
Job Overview:
* We are seeking a professional, polished, and friendly Receptionist to serve as the first point of contact for the organization. This role is ideal for someone with strong emotional maturity, clear communication skills, and the ability to remain calm and professional during busy periods.
* This is a professional, office-based position within a security-focused organization where discretion and confidentiality are critical.
Key Responsibilities:
* Front Desk & Visitor Management
* Greet and welcome visitors in a courteous and professional manner.
* Check visitors in and out using the eWelcome system.
* Issue visitor badges and maintain visitor logs.
* Mail badges to new hires or remote employees.
* Send weekly badge reports (returned, lost, contractors, etc.) to Security Manager.
* Ensure reception area remains tidy and presentable.
* Phone & Communication
* Answer, screen, and direct incoming phone calls.
* Update Austin employee email distribution list.
* Mail & Deliveries
* Manage incoming deliveries and notify recipients.
* Handle incoming and outgoing mail.
* Sort, scan, or send mail to offsite recipients.
* Create FedEx labels as needed.
* Administrative Support
* Filing, data entry, and document preparation.
* Maintain office supply inventory and place orders.
* Support meetings (lunch orders, dinner reservations for guests/employees)
* Check onsite conference rooms daily for double bookings.
* Report facilities issues through ticket system (CBRE)
Required Skills & Qualifications:
* High school diploma or equivalent (associate degree preferred)
* Proven experience as a receptionist or front desk representative.
* Proficiency in Microsoft Office (Word, Excel, Outlook)
* Excellent verbal and written communication skills.
* Strong organizational and multitasking abilities.
* Professional appearance and polished demeanor.
* Strong customer service skills.
* Ability to handle sensitive information with confidentiality.
* Emotional maturity and ability to remain composed under stress.
Preferred Qualifications:
* Experience with multi-line phone systems.
* Familiarity with scheduling software.
* Multilingual abilities.
Regulatory Compliance Requirements:
* Must have U.S. or Dual Citizenship.
* Must be able to obtain post-hire clearance from the Committee on Foreign Investments in the United States (CFIUS) and the United States Department of the Treasury.
