JOB DUTIES

Responsibilities are consistent with performing skilled administrative and clerical operations within a business office setting in an industrial environment. Working on a day, in accordance with prescribed safety procedures and regulations. Access and operate various information systems and databases. Carry out all phases of document life cycle management of a document records centre/area.

Provide the following services on a day or shift basis in accordance with prescribed safety procedures and regulations:

  • Accountable for the health, safety and wellbeing of self and others, in accordance with technical/operating procedures and standards.
  • Act as System Administrator to carry out various systems operations and routines, according to manufacturer's procedures, to control and maintain integrity of computerized documentation systems, ensuring system/data integrity can be retained in the event of malfunction.
  • Carry out and provide advice on all phases of document life cycle management according to established procedures, format and standard requirements, using computerized and manual tools. Establish and modify records centers and carry out planning and scheduling of associated records projects that includes periodically providing work instructions within assigned scope. Disposition document collections to reflect equipment, system, space and user requirements.
  • Lifting boxes of documents up to 25lbs and moving around in the Quality Assurance Vaults and Controlled Access Storage Areas, Scanning and Uploading paper records.
  • Maintain an up-to-date awareness of new or improved equipment, techniques, procedures and applications.
  • Operate and maintain various information systems and databases according to procedures, practices and verification measures, using a variety of business office applications, tools and equipment to perform a clerical and administrative function.

EDUCATION 

  • A minimum of 1 year of Post Secondary Education or equivalent experience, including proficiency in keyboarding and English grammar skills. 
  • A certificate or diploma in Office Administration or Executive Administration is a desirable asset. 

 

QUALIFICATIONS 

  • 3-5 years of administrative experience supporting multiple managers at a time in a broad range of office functions; 
  • Advanced Software proficiency – including Word (tested), Excel (tested), PowerPoint (tested) ; 
  • Advanced proficiency in Microsoft Outlook and Office 365 suite of applications including One Drive, One Note, Teams, Yammer, etc.; 
  • 40 accurate words per minute keyboarding skills (tested); 
  • Data entry experience
  • Experience working with: AS9
  • Medium to high level of experience with Word and Excel
  • High level of comfort with computer software applications in general
  • Ability to multi-task
  • PPE may be required (hearing protection, safety glasses and footwear – OPG covered)
  • Repetitive tasks (filing, computer work)
  • Face to face interactions

This position may entail extensive time spent on one's feet, moving and packing boxes, or sitting at the computer scanning for the entire day. Kindly ensure that you can comfortably meet these physical requirements.
