Pay Rate: $18.00 – $22.00/hour on W2
Work Type: Onsite – Washington, DC 20006
Work Schedule: Monday – Friday | 9:30 AM – 5:30 PM with 30-min lunch
Duration: 1-month contract (with possible extension)
Job Overview:
* The Document Specialist II performs document control by reviewing or editing documents prior to them being sent to clients.
* These tasks are accomplished by editing, formatting, creating, revising, and converting documents via various applications, including transcription software.
Key Responsibilities:
* Act as a coordinator when necessary to disseminate job requests to team members.
* Process requests using best practices and the most efficient method.
* Create and/or revise work product using direct keyboard entry, scanner, or electronic conversion methods of input.
* Transcribe audio and digital dictation, including deposition transcripts, as required.
* Spell check, proofread, and/or cross-check documents to ensure accuracy and completeness.
* Convert documents to and from the standard format per customer’s request.
* Participate in ongoing intra-department training to develop and maintain necessary specialized and advanced skills required to support Document Service’s needs.
* Maintain a high level of confidentiality of all records and files.
* Participate in departmental project teams.
* Assist with various projects and initiatives as assigned.
* Provide excellent customer service by answering questions knowledgeably to customers and team members.
* Demonstrate willingness to share ideas and thought processes.
* Adhere to team processes and new implementations and/or directives.
* Strive to increase skillset knowledge by participating in company training courses, research, and onsite training sessions.
* Correspond with customers professionally via telephone, email, and remote access.
* Assist with skillset building of new team members.
* Provide desk-side support when needed.
* Act as a point of contact for large projects.
* Oversee the creation of or create a Master Log for large projects to ensure organization.
* Assist the Manager and team with strategically planning the best method to complete requests.
* Maintain up-to-date knowledge of specialized applications and upgrades to achieve maximum efficiency and productivity with Document Services applications.
* Assume additional responsibilities as assigned.
Additional Responsibilities:
* Monitor and stock both kitchens as needed.
* Ordering, picking up and restocking the fridge with milk as needed.
* Receive all incoming UPS, FedEx, DHL and USPS and distribute within the office service water filter, k-cup and Nespresso machines, as needed.
* Do service sweeps, twice daily, to ensure organization and everything is in place.
* Administer building passes for anyone leaving the office, via the freight area.
* Deliver checks to fund transfer, after received by the Receptionist.
* Assist with office/furniture moves, as needed.
* Provide back-up Reception coverage, during breaks and as needed.
* Deliver certified mail to the post office for the Tax Department – must receive a hand stamp and receive date for tax purposes.
* Print and bind job requests for presentations or meetings.
* Do daily checks of all copy equipment (paper and toner) to confirm optimal functionality.
* Assist with loading both dishwashers – 3 to 4 times per day.
* Monitor and stock kitchen pantries.
* Provide cleaning assistance (vacuum/sweep) as needed.
* Assist with organizing supply room.
Qualifications:
* Associate’s degree, Secretarial Degree, or equivalent technical knowledge/experience.
* 3-5 years of experience in a legal document production environment and/or legal secretarial experience.
* Familiarity with legal terminology and a law firm environment required.
* Thorough knowledge of Document Management Systems (DMS) and Microsoft Office applications, including but not limited to Excel, Outlook, Word and PowerPoint.
* Excellent skills in spelling, grammar, punctuation, sentence structure, and proofreading.
* Ability to organize and prioritize multiple assignments.
* Ability to take initiative and use good judgment to accomplish results.
* Ability to excel under pressure within established timeframes and provide quality work product.
* Strong communication, interpersonal, teamwork, and customer service skills.
* Ability to interact effectively and professionally with all levels of management, staff, and external entities, including clients and prospective clients.
* Prolonged sitting and computer use required.
* Background check, drug screen, and conflicts check will be required prior to start.
* Demonstrate flexibility to adapt to change.
