Executive Administrator (Intermediate)

Duration: 12-month contract with possible extension

Job Overview:

* The Executive Administrative Assistant provides high level support to senior leaders within the Global Headquarters organization, including the Global Markets, Planning, and Marketing teams.
* This role ensures seamless operations, efficient scheduling, and proactive administrative coordination across a fast paced, global environment.

Key Responsibilities:

* Executive & External Meeting Coordination

* Coordinate complex internal and external meetings with global customers, partners, and stakeholders.
* Provide executive level scheduling support to ensure key business engagements run efficiently.

* T&E Standards & Budget Oversight

* Stay current on all Travel & Expense (T&E) policies; communicate updates to the SP admin team to ensure compliance and consistency.
* Monitor adherence to T&E guidelines across supported leaders and teams.

* Meeting & Time Management Standards

* Champion efficient meeting practices by reducing meeting durations when possible and avoiding default 30- or 60-minute blocks.
* Optimize meeting flow, purpose, and participant alignment to protect executive time.

* Calendar Management

* Manage complex calendars for senior leaders, balancing priorities across Global Markets, Planning, and Marketing.
* Anticipate conflicts, think strategically, and make scheduling decisions that support business goals.

* P Card & AMEX Administration

* Serve as P Card holder and complete accurate monthly reconciliations.
* Reconcile all AMEX charges for the SVP of SP and VP of FL with high accuracy and timeliness.

* General Administrative Support

* Prepare documents, presentations, and communications as needed.
* Handle confidential information with discretion and professionalism.
* Support global HQ initiatives and cross-functional projects.
