Raise is currently hiring a contract team member on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader.

Overview

The Project is seeking an experienced and highly organized Interface Coordinator to support effective coordination between the Project Team, consortium partners, and key stakeholders. Based in Houston, this contractor will serve as a central coordination point for cross-functional requests while managing workflow tracking, reporting support, correspondence, commitments, and secondee administration. Reporting to the Interface Manager, the successful candidate will help centralize administrative activities, improve the timeliness and visibility of partner-related work, and drive process standardization and continuous improvement.

Responsibilities

  • Manage CoV Query Coordination
    • Receive, characterize, & route queries requiring project team input.
    • Coordinate SMEs and response owners to ensure timely, high-quality responses.
    • Track queries through review, approval, and closure; escalate issues as needed.
  • Partner Reporting & Communications Support
    • Prepare and coordinate periodic and ad hoc partner reports.
    • Consolidate inputs across project functions and review for completeness and consistency.
    • Support partner and government engagements by compiling project information and briefing materials.
    • Maintain clear, consistent messaging supported by current project information.
  • Correspondence Management
    • Maintain correspondence logs.
    • Coordinate review, endorsement, approval, and distribution of correspondence.
    • Track commitments arising from correspondence, meetings, and partner engagements through closure.
    • Ensure traceability between requests, responses, decisions, actions, and outcomes.
  • Secondee Onboarding & Partner Support Coordination
    • Develop and maintain onboarding procedures, checklists, trackers, and guidance materials.
    • Coordinate secondee onboarding, mobilization, and readiness activities across functions.
    • Track status, resolve barriers, and escalate issues affecting deployment or integration.
    • Maintain records of assignments, onboarding progress, and outstanding actions.
    • Prepare invitation letters and related documentation supporting partner and contractor travel.
  • Process Documentation & Improvement
    • Document workflows, roles, responsibilities, controls, and escalation paths.
    • Develop procedures, templates, checklists, and work instructions.
    • Identify opportunities to simplify, standardize, automate, and improve recurring activities.
    • Support implementation of workflow and reporting tools, including Airtable where applicable.
    • Establish performance measures and recommend improvements based on workflow data and stakeholder feedback.
  • Dashboards & Performance Visibility
    • Develop and maintain dashboards for partner queries, commitments, actions, reporting deliverables, and secondee onboarding.
    • Monitor performance, bottlenecks, deadlines, and recurring issues.
    • Ensure data quality and provide concise summaries highlighting items requiring management attention.
    • Define and track measures for timeliness, quality, throughput, and closure.

Required Qualifications

  • Bachelor’s degree or equivalent relevant professional experience.
  • Demonstrated experience in project coordination, project administration, business operations, reporting, stakeholder coordination, or a comparable role.
  • Strong organizational skills and the ability to manage multiple concurrent requests, deadlines, and contributors.
  • Ability to work effectively in a dynamic environment where processes and priorities continue to evolve.
  • Strong written communication and document-development skills.
  • Ability to consolidate complex inputs into clear, concise, and well-organized reports or briefing materials.
  • Strong attention to detail.
  • Ability to work across organizational boundaries and follow up respectfully but persistently with senior and technical contributors.
  • Proficiency with Microsoft 365 applications, particularly Outlook, Teams, Excel, PowerPoint, Word, and SharePoint.

Preferred Qualifications

  • Experience supporting a major capital project, energy project, engineering organization, joint venture, consortium, or other complex multi-party environment.
  • Experience coordinating partner, customer, government, or external-stakeholder requests.
  • Experience with action tracking, commitment management, correspondence control, or resolution workflows.
  • Experience supporting onboarding, mobilization, or integration of contractor, partner, or secondee personnel.
  • Experience developing dashboards and management metrics.
  • Experience documenting and improving business processes.
  • Experience with Airtable, Power BI, Power Automate, Aconex, or similar tools.
  • Familiarity with document-control principles, approval workflows, records management, and auditability.
  • Experience working across international teams and time zones.
