Workplace Services Representative

Raise is currently hiring a contract team member on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader. 

Job Overview:

The Workplace Services Representative is responsible for providing exceptional customer service and administrative support within the organization. This role involves managing visitor interactions, handling administrative tasks, and supporting various workplace services functions. The representative will act as a liaison for large moves, assist with real estate and workplace services activities, and participate in projects related to environmental health and safety, sustainability, and facility management.

 

Key Responsibilities:

  • Answer phones and manage visitor interactions.
  • Issue photo ID badges and upload pictures to WorkDay.
  • Handle name plate requests and input location information in WorkDay.
  • Process invoices and Service Now tickets for Workplace Services.
  • Manage Elink, SharePoint, Service Now, and email response activities.
  • Oversee vendor management and coordinate large and weekly moves, additions, and changes.
  • Assist with room bookings, catering requests, and stationery supply orders.
  • Provide backup coverage for other Workplace Services team members.
  • Participate in projects such as Environment Health & Safety initiatives and sustainability programs.
  • Handle difficult situations and clients professionally and calmly.
  • Cross-train with other Navigators and Workplace Services Coordinators.
  • Manage parking and access cards.
  • Perform gatekeeper responsibilities, screening visitors and callers to protect office staff and maintain confidentiality.
  • Perform ad hoc duties as required by the Supervisor/Team Lead Workplace Services.

Qualifications:

  • Core competencies in relationship and interpersonal skills, adaptability and flexibility, and customer service.
  • 1-3 years of experience in an office administration or customer service role.
  • Ability to manage and prioritize across multiple areas and issues.
  • High energy and enthusiasm with a desire to provide exceptional customer service.
  • Demonstrated problem-solving skills.
  • Proficiency in Microsoft Office Suite (Word and Excel) is required.
  • Ability to create innovative and effective solutions to challenges.
  • Maintain the integrity of the company brand and protect the company’s reputation in interactions.
  • Keen attention to detail and ability to maintain confidentiality at all times.
  • Strong communication skills, both written and verbal, in-person and on the telephone.
