Operations Coordinator
- Pay Rate: $20.00 – $21.00/hour on W2
- Contract Length: 9 months with possible extension/conversion – temp to hire
- Location: Lewisburg, TN 37091 (Onsite)
- Work Schedule: Typically, Monday–Friday (Day Shift) – TBD
Raise is currently hiring a contract team member on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader.
Overview
- The Operations Coordinator works closely with the operations team and provides critical administrative and operational support.
- This position performs the full cycle of customer service functions, from accessing inbound customer data to ensuring invoice accuracy.
- The role also compiles supporting documentation related to RCRA (Resource Conservation and Recovery Act), DOT, HazCom, accounting, invoice distribution, customer inquiries, and collections.
- In addition, the position performs reception and administrative duties, including managing inbound calls, greeting guests, mail distribution, filing, and providing general office support.
Responsibilities
- Communicate with clients and support customer requests.
- Work within NetSuite to:
- Set up new customers
- Process MCF document requests
- Enter sales orders
- Maintain pricing information
- Store reports and spreadsheets on OneDrive and share access with internal teams, including reports related to:
- Transportation Compliance
- Environmental Compliance
- Health & Safety
- Communicate with operations leadership regarding customer service issues such as:
- Invoice discrepancies
- Quoted rate differences
- QA/QC concerns
- Billing corrections or credit requests
- Track daily incoming volumes and provide daily, weekly, and monthly reports.
- Track and enter Purchase Orders for received invoices.
- Track and report credit card usage.
- Order supplies for the business unit, including office supplies, chemicals, and operational materials, while tracking expenditures.
- Track daily driver mileage and fuel usage for monthly transportation reports.
- Ensure receipts and DVIR documentation are submitted daily and report any discrepancies to management.
- Manage incoming and outgoing mail, filing, faxing, and general administrative duties.
- Maintain employee training files.
- Assist with collections tracking when required.
- Work cross-functionally with departments such as:
- Materials profiling
- Compliance / QA/QC
- Scheduling
- Dispatch
- Sales
- Supply chain
- Ensure accurate data entry across internal systems such as CRM, NSGG, DMS, and PeopleSoft.
- Resolve assigned Process Map cases within the required timeframe.
Required Qualifications
- High School Diploma or GED required.
- Minimum 2 years of office management or administrative experience.
- Experience with RCRA (Resource Conservation and Recovery Act), DOT, and HazCom regulations
- Proficiency with computer software applications.
- Ability to manage multiple projects, prioritize tasks, and meet deadlines.
- Ability to work independently in a fast-paced environment.
- Strong organizational and communication skills.
- Ability to follow detailed written and verbal instructions.
Preferred Qualifications
- Experience in the waste or recycling industry.
- Strong customer service orientation.
- Ability to problem solve and use sound judgment in a fast-paced environment.
- Ability to collaborate effectively across departments.
- Knowledge of transportation equipment such as:
- Van trucks
- Roll-off trucks
- Self-dump trucks
