Job Overview
The Administrative Assistant II provides administrative, analytical, and business operations support to assigned managers and teams. This role is responsible for coordinating projects, supporting business processes, maintaining accurate records and reports, and fostering strong relationships with internal and external stakeholders. The position contributes to the efficient execution of office operations, project activities, and business objectives.
Key Responsibilities
- Coordinate with builders, developers, and contractors to facilitate natural gas service for development projects.
- Support the planning, development, and coordination of project plans in partnership with project managers.
- Schedule, coordinate, and facilitate meetings, including the preparation and distribution of agendas, minutes, and action items.
- Prepare, maintain, and ensure the accuracy, integrity, and completeness of project status reports and documentation.
- Generate reports to support business planning, performance tracking, and operational analysis.
- Analyze data and recommend effective reporting methods to improve business insights and decision-making.
- Exercise independent judgment in selecting and implementing appropriate reporting and tracking techniques.
- Build and maintain positive working relationships with internal stakeholders, customers, builders, developers, and contractors.
- Coordinate and support special projects while maintaining confidentiality of sensitive information and records.
- Participate in team meetings and provide thorough documentation of discussions, decisions, and follow-up actions.
- Conduct construction site visits as required to support project activities.
- Provide general administrative and operational support to assigned teams and management.
- Perform additional duties and special assignments as required.
Qualifications
- 4–7 years of experience in an administrative, project coordination, or business operations support role.
- Experience supporting construction, utility, engineering, or infrastructure projects is considered an asset.
- Strong organizational, analytical, and problem-solving skills.
- Excellent verbal and written communication skills.
- High attention to detail and accuracy in reporting, documentation, and data management.
- Strong interpersonal skills with the ability to collaborate effectively across teams and with external stakeholders.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Demonstrated ability to work independently while exercising sound judgment and initiative.
- Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
- Proven ability to handle confidential and sensitive information with professionalism and discretion.
