Project Controls Coordinator

Job Overview:
- We are looking for a detail-oriented and analytical project controls professional with a strong understanding of project financial management, forecasting, and reporting. You thrive in complex project environments, collaborate effectively across cross-functional teams, and leverage data-driven insights to support sound business and project decisions. Your ability to balance technical expertise with strong stakeholder engagement makes you a trusted partner throughout the project lifecycle.
Key Responsibilities:
- Prepare, maintain, and analyze project budgets, forecasts, commitments, accruals, and cost reports throughout the project lifecycle.
- Monitor project performance, track cost trends and variances, and provide timely financial insights to support decision-making.
- Develop and maintain Estimate at Completion (EAC) forecasts and support earned value management (EVM) reporting.
- Review, validate, and process contractor invoices, payment applications, and supporting documentation for accuracy and compliance.
- Support contract administration activities, including change order management, cost impact assessments, and documentation control.
- Develop, maintain, and enhance project dashboards, financial reports, and automated reporting tools using Excel, Power BI, and Oracle-based systems.
- Analyze large and complex financial, operational, and project datasets to identify risks, opportunities, and performance improvement initiatives.
- Collaborate with project managers, engineers, construction teams, contractors, and other stakeholders to ensure accurate project controls and reporting.
- Support capital project budgeting, forecasting, risk management, and project performance monitoring activities.
- Drive continuous improvement in project controls processes, reporting standards, and data management practices while providing guidance and support to project teams.
Qualifications:
Required
- Bachelor's degree in Business, Accounting, Finance, Construction Management, Engineering, Project Controls, or a related discipline. Equivalent combinations of education and experience may be considered.
- Minimum of 3 to 5 years of experience in project controls, cost controls, field controls, construction management, project accounting, or a related field.
- Experience supporting large-scale capital projects or programs within the oil and gas, pipeline, terminal, utility, energy, industrial, or infrastructure sectors.
- Strong knowledge of project cost management, budgeting, forecasting, accruals, commitments, earned value management, and financial reporting.
- Understanding of contract administration, invoice validation, payment certification, and change management processes.
- Proven analytical and problem-solving capabilities with the ability to evaluate and interpret complex financial and project data.
- Excellent communication, presentation, and stakeholder management skills.
Technical Skills:
- Advanced proficiency in Microsoft Excel, including:
- Pivot Tables
- Power Query
- XLOOKUP
- Advanced formulas, data analysis, and reporting functions
- Experience working with:
- Oracle Cloud
- Oracle Projects
- Power BI
- Microsoft Office Suite
- SharePoint
- Microsoft Teams
- AI productivity tools such as Microsoft Copilot, ChatGPT, and Claude
- Experience developing dashboards, financial reports, and automated reporting solutions is considered an asset.
- Familiarity with project controls methodologies, including:
- Cost Management
- Forecasting and Budget Control
- Change Control Management
- Earned Value Management (EVM) and Estimate at Completion (EAC)
- Risk Management
- Project Performance Monitoring and Reporting

Working Conditions:
- Primarily office-based work environment with periodic site visits to active construction and project locations.
- Occasional travel may be required to support project execution, stakeholder meetings, and project reviews.
Physical Requirements:
- This position requires the ability to perform standard office-related activities, including prolonged periods of sitting and computer work. Additional requirements may include standing, walking, reaching, bending, kneeling, and occasionally lifting or carrying items weighing up to 20 pounds. Visual acuity is required for reviewing reports, financial data, dashboards, and project documentation.
