Job Overview

The Information Management Portfolio Lead (IMPL) supports the Information Management Advisor in developing, implementing, and stewarding Information Management (IM) programs across a portfolio of global capital projects. This role serves as a key point of coordination between Project Information Management Leads, IM Advisors, and cross-functional project stakeholders to ensure consistent Information Management practices, governance, resource planning, and successful delivery of project information assets.

 

The ideal candidate brings a balanced background in Information Management and project/portfolio management, with the ability to operate across both technical and functional teams. This person will oversee and support multiple projects simultaneously, help prioritize competing needs, anticipate risks and issues, and provide guidance to project-assigned IM Leads.

 

The role requires a senior-level professional who can communicate effectively across different technical disciplines, translate between "IM speak" and "project speak," and influence stakeholders without direct authority. Experience supporting major capital projects, particularly within Oil & Gas or similarly complex industrial environments, is highly desirable.

 

Responsibilities:

  • Support the IM Advisor in developing and implementing Information Management strategies and programs across a portfolio of global projects.
  • Serve as a key point of coordination between Project IM Leads, IM Advisors, project teams, and business stakeholders.
  • Monitor the project portfolio and ensure timely engagement, implementation, and scaling of Information Management processes and resources.
  • Guide project-assigned Information Management Leads in the planning and execution of IM processes, standards, governance, and controls.
  • Manage and prioritize Information Management needs across multiple concurrent projects, identifying risks, dependencies, resource needs, and opportunities for improvement.
  • Support Information Management resource planning, deployment, and onboarding across assigned projects.
  • Promote standardization, governance, and effective change management across project and portfolio Information Management activities.
  • Support the deployment and ongoing use of Aconex or similar Electronic Document Management Systems (EDMS), including configuration and feature updates as needed.
  • Support IM surveillance activities, KPI monitoring, health checks, and assessments to evaluate the effectiveness of Information Management engagements.
  • Partner with project and customer organizations to understand requirements and ensure Information Management programs align with business and user needs.
  • Identify and drive process improvements across the information lifecycle, leveraging organizational standards, global practices, templates, and procedures.
  • Help maintain and enhance Information Management best practices, implementation guides, templates, processes, and tools.
  • Provide feedback to IM leadership regarding the effectiveness of Information Management tools, processes, and alignment with project and business requirements.
  • Collaborate across geographically distributed teams, including Information Management resources supporting projects globally.
  • Maintain awareness of emerging Information Management practices and technologies, including electronic document management, data aggregation, digital transformation, data warehouses, design systems, and digital twins.

Qualifications:

  • 5-8+ years of relevant experience in Information Management, Project Information Management, project/portfolio management, or a related discipline.
  • Demonstrated experience working as an Information Management Lead or in a comparable leadership capacity, ideally supporting multiple projects or a project portfolio.
  • Strong understanding of Information Management systems, program implementation, governance, guidelines, controls, and information lifecycle practices.
  • Experience supporting Information Management within capital projects, engineering, operations, manufacturing, Oil & Gas, or similarly complex project environments.
  • Demonstrated ability to manage and prioritize competing requirements across multiple projects or stakeholders.
  • Strong project management and coordination skills, including planning, prioritization, resource management, and issue resolution.
  • Ability to communicate effectively across technical and non-technical groups and translate Information Management requirements into practical project needs.
  • Proven ability to influence and drive alignment without direct authority across cross-functional and globally distributed teams.
  • Strong collaboration, stakeholder management, communication, adaptability, and problem-solving skills.
  • Experience with Aconex or comparable Electronic Document Management Systems is highly preferred.
  • Experience with SharePoint and other information, document, or collaboration platforms is beneficial.
  • Experience with AVEVA AIM or other engineering information/data aggregation platforms is a plus.
  • Knowledge of data management, data analytics, digital transformation, digital twins, or related digital information practices is desirable.
  • Familiarity with formal project and information management frameworks, management systems, records management practices, and information protection requirements is beneficial.
  • Experience supporting major capital projects is strongly preferred.
