Information Management Administrative Assistant
- Pay Rate: $30.00/hour, depending on experience

Raise is currently hiring an Information Management Administrative Assistant on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader. Our Client, is a Liquids Pipelines Company operating with more than 4,000 kilometers of crude oil pipelines in North America providing low-risk, liquids transportation and storage business, safely moving oil between some of the world’s most critical markets
Note: The primary pay rate is based on T4 classification; however, we will also consider applications from candidates interested in an INC classification, where applicable.
Description
The Information Management Administration position will support document management, content standardization, and data quality activities that enable safe, efficient, and compliant operations. This includes assisting with the review and refresh of controlled documents and updating of document metadata.
Reporting to the Information Management lead, this role provides support to the refresh of our clients controlled documents and the document management of change process.
Responsibilities
- Support the review, and refresh of operational and controlled documents
- Assist in standardizing document formats, templates, and metadata
- Provide administrative support for the document management of change process
- Provide administrative support to the project manager for status reporting
- Review document and data quality within systems
- Identify gaps, duplicates, or outdated content and support remediation
- Track and report on document refresh progress
- Maintain accurate, audit-ready records and version control
Qualifications
- 2 to 5 years of direct experience in document control, records management, or technical administration in Oil & Gas, Utilities, or Construction is highly preferred.
- Standardization & Metadata Expertise – ability to Apply consistent templates and formatting across large document sets.
- Experience with Managing and updating metadata fields to ensure documents are searchable and categorized correctly within a system.
- Proficiency in SharePoint & Document Management Systems (DMS) – managing folder structures and maintaining data integrity within those platforms.
- Data Quality & Remediation Skills -experience with data cleansing or remediation projects
- Administrative Project Support & Reporting – Create status reports and use Excel to monitor KPIs or project timelines.
- High Attention to Detail (Audit Readiness) experience in a regulated industry (like energy or utilities) where documentation is subject to safety or legal audits would be a significant advantage.
- Education and Certifications
- Post-Secondary Diploma or Certificate in Business Administration, Administrative Information Management (AIM), or Records Management preferred
