Client Services Project Coordinator (French/English)

We’re Hiring! Our key client in the Legal industry is looking for additional members to their team. We have a Client Services Project Coordinator (French/English) role on the team.

Pay Rate: $26-$30/hour
Work Type: Remote – Quebec/Ontario
Work Hours: 9:00 AM – 5:00 PM
Duration: 12-month contract with possible extension/conversion

Job Overview:

* This position supports Project Managers in project execution in the Client Services department and ensures consistently superior client service standards in all client interactions.
* The Project Coordinator role is responsible for providing professional level administrative support within our client facing project management team.
* As a key member of the project team, this role will be a part of delivering exceptional quality work to our clients as well as within our internal teams.

Key Responsibilities:

* Project Execution – Meet project requirements (kick-off meetings, deadline management, client status reporting and other necessary project communication, and coordinate with the various operational teams) to deliver all project deliverables on time, within budget and at the highest quality standards.
* Internal Collaboration – Responsible for working with internal operational groups throughout the projects’ lifecycles and coordinating deliverables to meet project objectives.
* Client Communication – Respond to client communications timely and accurately; understand client needs and feedback, collaborate and consult with clients and/or support project management team in doing so; follow up and communicate client's needs internally.
* Documentation & Reporting – Draft project telephone scripts and website text, assist in development of business rules as well provide project reporting, perform analysis of reporting to ensure quality and contextualize results for client.
* Towards this goal, the Project Coordinators will work with the Project Managers in Client Services as well as other operational departments to continually enhance service quality standards to meet and/or exceed client expectations.
* This position is responsible for fostering a team environment and building cooperation between client services team members, and other departments to provide the highest quality service standards.
* A critical component of the job is to manage and resolve complex tasks.

Qualifications:

* Bachelor’s Degree or other relevant industry experience is preferred.
* 1+ year work experience with direct client/customer contact in a professional environment.
* Bilingualism, French and English fluency.
* Experience with Disbursements or Financial Case Support:
* Ideally have experience handling disbursements or working on cases involving financial transactions.
* Familiarity with tracking payments, reconciling amounts, or coordinating with finance/legal teams will be considered a strong asset, especially for supporting complex case workflows.
* Excel Proficiency (9/10): The candidate should have extensive experience using Excel, including basic data manipulation and more advanced functions such as pivot tables, VLOOKUP, and various calculation functions to regroup information.
* Strong Analytical & Problem-Solving Skills: The candidate must be able to think on their feet, understand the whole picture, assess the impacts of their work, and how it will affect the case.
* Strong Customer Service Skills: The candidate should be able to provide white glove service and have a good understanding of customer needs.
* Strong Communication Skills: The candidate must possess excellent verbal and written communication abilities, essential for effectively interacting with our clients, who are primarily lawyers, and handling tasks that involve legal aspects.
* Strong Organizational Skills: The candidate must be well-organized, able to multi-task, and anticipate what comes next.
* Inquisitive Mind: The candidate should have a need to understand, not just deliver, ensuring their work has the right effect on the case.
* Ability to Work Independently and Autonomously: The candidate should have experience collaborating with others, working as part of a team, and being able to work independently.
* Highly Motivated and Proactive: The candidate should demonstrate a strong work ethic and be willing to take on more responsibility down the line, potentially leading other project coordinators.
