Job Overview

Our client is seeking a Milestone Scheduler to coordinate, maintain, and drive the update of key project milestones across a portfolio of projects. This highly collaborative role works closely with project managers, engineering, construction, procurement, and other stakeholders to gather updates, validate timelines, and ensure alignment with project execution plans. Unlike traditional scheduling roles focused on detailed project schedules, this position emphasizes the management of a standardized milestone-based schedule that provides clarity, consistency, and actionable insights across a high volume of projects. The Milestone Scheduler plays a critical role in improving schedule visibility, accuracy, and adoption, enabling teams to make informed decisions and remain focused on critical delivery dates. The successful candidate will possess strong communication, organizational, and stakeholder engagement skills, with the ability to proactively drive updates, foster accountability, and support project execution teams through reliable milestone tracking and reporting.

Key Responsibilities

  • Coordinate the development, maintenance, and ongoing updates of a standardized set of key project milestones across multiple projects.
  • Engage proactively with project managers, engineering, construction, procurement, and other stakeholders to obtain timely and accurate schedule updates.
  • Drive ownership and accountability for milestone updates across project teams.
  • Ensure milestone schedules accurately reflect current execution strategies, project risks, and changes to scope or timelines.
  • Maintain and update milestone schedules using Primavera P6 while ensuring consistency across the project portfolio.
  • Promote the adoption and effective use of milestone schedules by delivering clear, relevant, and actionable outputs.
  • Provide regular reporting and insights on milestone status, upcoming critical dates, schedule variances, and potential risks.
  • Support reporting and analytics activities using Excel, Power BI, and other reporting tools to enhance visibility and decision-making.
  • Identify and implement opportunities to improve milestone tracking, reporting processes, and overall schedule effectiveness.
  • Support project execution teams by ensuring scheduling processes enable efficient project delivery and do not create unnecessary administrative burden.
  • Adapt to evolving project, portfolio, and stakeholder requirements while maintaining a high level of service and responsiveness.

Qualifications

  • Minimum 3 years of experience in project scheduling, project controls, or a related discipline.
  • Working knowledge of Primavera P6 is required.
  • Strong organizational and time management skills with the ability to manage multiple projects and competing priorities simultaneously.
  • Proven ability to collaborate and communicate effectively with cross-functional stakeholders.
  • Demonstrated ability to proactively engage stakeholders and drive completion of deliverables.
  • Experience supporting reporting, analytics, dashboards, or performance tracking activities; Power BI experience is considered an asset.
  • Understanding of project lifecycles and key project execution milestones is considered an asset.
  • Strong attention to detail and commitment to maintaining accurate and reliable schedule data.
  • Ability to work independently while building productive relationships across diverse project teams.
  • Adaptable, service-oriented, and focused on delivering value to project execution teams.
