· Pay Rate: $33.59 – $38.72/hour, depending on experience

Job Description
We are seeking a driven Administrative Assistant who is passionate, a self-starter and has knowledge and experience in managing budget, calendar, booking travel and reporting on a regular basis. This role will report directly to the Manager, Eastern Operations Co-Generation and will provide support primarily to managers and fellow team personnel enabling them to focus on their core accountabilities.
This individual has the proven skills, competencies and capacity to liaise with several stakeholders throughout the organization at multiple levels and cross-functionally. You are able to prioritize and organize tasks in an efficient manner within tight, competing timeframes while maintaining a diplomatic and positive attitude.
Responsibilities
- Provide direct administrative support to the leadership team in addition to general support for the department when required
- Manage the departmental managers’ calendars which includes coordinating meeting logistics including: maintaining meeting minutes, prioritizing action items, booking rooms, AV support, catering, etc.
- Professionally manage and maintain confidential and sensitive information
- Prepare weekly and monthly status reports for the team
- Assist with onboarding process for new hires (direct and contract) on behalf of the department
- Prepare documents, reports, data/information analyses and PowerPoint presentations for internal and external audiences
- Manage all administrative tasks including printing, document formatting, SharePoint sites, expense reports, and timesheets for department team members
- Manage the warehouse by receiving merchandise, carrying out the annual inventory and ordering necessary consumables and parts
- Managing and organizing travel arrangements
- Review, develop and implement departmental administrative processes and training on application systems (SAP, ServiceNow, Workday) where applicable to enable consistency and quality of execution of administrative functions within the department
- Create requisitions and process vendor invoices
- Responsible for identifying and anticipating communication needs within the formal organization structure and ensuring distribution of relevant information
- Perform other duties and small projects as required
Minimum Qualifications
- 3 years of progressive experience in an administrative/analyst role
- High school education (GED) or equivalent from a recognized institution is required
- Strong knowledge of Microsoft Office computer skills (SharePoint, Excel, Word, PowerPoint and Outlook)
- Senior administrative skills with ability to complete assignments of a complex and confidential nature
- Well-developed organizational and multi-tasking skills and the ability to be flexible and work well under pressure in a fast-paced environment with changing priorities and circumstances
- Speak and write in both French and English
Preferred Qualifications
- Diploma or Certificate in Administration from a recognized institution
- Knowledge of SAP
- Previous experience working in the energy industry
- Strong interpersonal skills, professional demeanor and demonstrated ability to work cross-functionally with stakeholders at multiple levels
- Effective negotiation and conflict resolution skills in dealing with competing demands
- Proven organizational, planning and prioritization skills
- Ability to work in a fast-paced environment, manage tight deadlines and work independently with minimal supervision
- Strong analytical skills with experience developing reports and forecasting
