Job Overview
We are seeking a highly organized and detail-oriented Project Coordinator to support our Finance Modernization project. This role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating across multiple stakeholders, and can effectively manage project administration, scheduling, documentation, governance tracking, and operational follow-up.
The Project Coordinator will work closely with the Project Manager, project controls, workstream leads, business stakeholders, and support teams to help keep project activities organized, documented, and on track.
Role Overview
- Support project planning, scheduling, and coordination of key project activities, meetings, and milestones.
- Organize and manage calendars, recurring meetings, and appointments; identify scheduling conflicts and resolve them proactively.
- Coordinate project meetings, including logistics, follow-up, and record management.
- Maintain project records, documentation, reports, contracts, invoices, and other administrative materials.
- Manage and update project governance logs, including RAID items, and ensure required fields are completed accurately.
- Review aging items and follow up with owners to obtain updates, resolve overdue items, or revise timelines as needed.
- Maintain an audit trail for project decisions and ensure supporting documentation is properly stored.
- Administer and organize content within SharePoint, including folder setup, document storage, and access management.
- Monitor and manage the project shared mailbox, ensuring incoming items are reviewed and actioned appropriately.
- Support monthly project communications, including distribution of updates from the shared mailbox.
- Track vacation/PTO information and share relevant updates with project leadership to support planning.
- Support project financial administration, including coordinating purchase order requests, revisions, invoice validation, and related documentation.
- Submit administrative requests required to support project resources and operational needs.
- Update project trackers, including IT or license-related records, and share updates with designated stakeholders.
- Serve as a liaison between the Project Manager, team members, and stakeholders to support communication and coordination.
- Ensure team members have the information, materials, and administrative support required to meet project deadlines.
- Support ongoing governance, documentation, and operational processes to help ensure project success.
Qualifications
- Post-secondary education in business administration, project management, or a related field, or an equivalent combination of education and experience.
- Experience supporting large-scale transformation, modernization, or cross-functional projects.
- Familiarity with project governance processes such as RAID tracking, decision logs, and documentation control.
- Experience with project financial administration, invoice processing support, or procurement-related coordination.
- Experience in a project coordination, project administration, or similar role.
- Proficiency with Microsoft Office applications, including Outlook, Excel, Word, Teams, and SharePoint.
- Experience coordinating meetings, maintaining schedules, and supporting stakeholders across multiple functions.
- Experience managing shared mailboxes and project collaboration sites.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to maintain accurate records and documentation.
- Ability to work independently and collaboratively in a team environment.
