Role Overview
Position: Client Support Coordinator – Payroll & Billing
Pay Range: PHP 35,000 – 45,000
Employment Type: 6 months contract
Internally, this person will have the job title of System Coordinator and will own accurate and timely payroll, invoicing, and contractor support for the client. That means working the AP and AR exception reports to resolution, resolving timesheet and rate discrepancies before they reach the contractor or the client, holding payroll and invoicing cases through the shared inbox, and utilizing the draft timesheet Sales Force report so missing timesheets don’t quietly pass its target.
Key Responsibilities
• Own payroll, timesheet, and invoicing cases through the dedicated client shared inbox, resolving issues where possible and escalating when required
• Review AP exception and aging reports, working with AP to resolve payment issues, missing invoices, and outstanding exceptions within required timelines
• Review the weekly AR Reconciliation Report, actioning rate errors, time overages, and discrepancies between hours processed and hours paid in Fieldglass
• Resolve or escalate AP and AR exceptions before they reach 30 days
• Monitor the Draft Timesheet Report in Salesforce and proactively follow up on missing timesheets to ensure timely submission and processing
• Investigate and resolve system discrepancies, data errors, and workflow issues, escalating technical issues to the appropriate team when required
• Monitor and action system notifications, pending approvals, and overdue items to ensure they are completed within required timelines
Qualifications
• Minimum 2+ years of experience in candidate or employee management (contract or permanent), staffing coordination, or a related field preferred
• Experience with Fieldglass or a comparable vendor management system
• Strong attention to detail when managing payroll, timesheet, invoicing, and contractor data
• Comfortable reviewing and working exception reports through to resolution within defined timelines
• Strong organizational skills with the ability to manage a large, tracked queue, prioritize competing demands, and ensure older items are not overlooked
• Clear, patient, and professional communication skills, particularly when addressing pay, invoice, or assignment-related matters with contractors
• Excellent customer service skills with the ability to build positive relationships with contractors and internal stakeholders
• Ability to follow documented processes while identifying and communicating when a process is not working effectively
• Comfortable coordinating across Payroll, AP, AR, and other internal teams
• Experience with Salesforce is an asset, with the ability to maintain alignment between Salesforce and Fieldglass and ensure data integrity across systems
• Proficiency in Microsoft Office Suite; experience with CRM, vendor management, or project management systems preferred
• Ability to work independently and collaboratively, with a proactive and solutions-oriented approach to problem-solving
• Willingness to learn and follow workplace safety practices, regulations, and compliance requirements related to contractor engagement
• High level of professionalism and discretion when handling confidential information
